Every crew member in your database has a ReelCount pass. The Setup → Passes and Settings tab gives you control over how those passes are shared and managed.
Autosend Passes
At the top of the page you’ll see the Autosend toggle.
When turned on, new passes are emailed automatically as soon as crew are added.
When turned off, passes won’t be sent until you do it manually.
👉 Here’s the Autosend toggle in Passes and Settings:
Pass List
Below the toggle, you’ll see a list of all passes. Each entry shows:
Crew member’s name and job title
When the pass was created
When it was last shared
If you see a dash (–) in the Last Shared column, that pass has never been sent out.
👉 Here’s the pass list view:
Sharing Passes
Next to each entry is a Share Pass button.
Enter any email address to send a duplicate copy of the pass.
This doesn’t change the crew member’s main email — it just sends a copy.
Useful if someone else needs to collect on their behalf.
⚠️ Important: Don’t use Share Pass as the first way to issue someone their pass. The wording in the email is different and may confuse them. Always issue passes directly first, then use Share Pass if a duplicate is needed.
Pass Emails
When sent, passes arrive in a simple email with a button to download. They can be saved directly into Apple Wallet or Google Wallet.
How Passes Work
Each pass contains only the project name, crew name, and a QR code — nothing more, to protect data.
If a crew member is deleted, all copies of their pass will instantly stop working (including those already saved to phones).
Passes can be re-downloaded any time by reopening the original email.
And that’s Pass Settings and Distribution — everything you need to manage how passes are shared with your crew.
