Every crew member in your database can hold a ReelCount pass. Passes can be shared, saved to phones, and used throughout the shoot — but they are tied directly to the crew record in your database.


When a Crew Member Is Deleted

  • If you delete a crew member from the Crew page (open their info card and use the delete button), their pass is deleted too.
  • All copies of that pass stop working immediately — the QR code will no longer scan. In Apple Wallet the pass shows as void, and in Google Wallet it's marked as disabled.
  • The pass cannot be reactivated, because the crew record it belonged to no longer exists.

What This Means on Site

  • The crew member can no longer collect meals at any location — the scanner will reject the pass.
  • They are removed from all future scheduled days.
  • Past days keep their history: the crew member's activity still appears in previous days' schedules and exports, shown greyed out with their name struck through so you can see they've since been removed.

Deleting vs Revoking

Deleting a crew member is permanent. If you just want to stop a pass working without losing the crew record, revoke the pass instead:

  • Go to Setup → Pass Settings and click Revoke Pass next to the crew member. Their existing Apple/Google Wallet pass is disabled, but they stay in your database and on the schedule.
  • A revoked pass can be re-issued later with Share Pass (in Pass Settings) or Re-Send Pass (on their crew info card) — they'll get a fresh pass by email. Re-activating a revoked pass counts against your plan's pass limit.
