The Crew page is where you keep track of everyone who'll be collecting meals on your production. Once someone is added, they'll be issued a ReelCount pass that can be used throughout the shoot — as long as they're scheduled for a session that day.


Adding Crew

There are two ways to add people to your crew list:

1. Import from CSV

The quickest way to add a large group is by uploading a CSV file.

  • Click Import CSV on the Crew page.
  • Upload your file — it needs a header row.
  • Match your spreadsheet's columns to ReelCount's fields: Name, Job Title, Email, Unit, and Department are required; Photo URL is optional.
  • Double-check everything is mapped correctly before confirming.

Rows missing any of the required details are skipped, so it's worth a quick tidy-up of your spreadsheet first.

Tip: Keep department and unit names consistent. Small spelling differences (e.g. "Production" vs "Production Team") will create duplicates.


2. Add Individually

To add a single crew member, click the Add crew button. A pop-out will ask for:

  • First and last name
  • Job title
  • Email address (used to send their pass)
  • A photo (optional)
  • Unit and department

If the unit or department doesn't already exist, you can create it right there in the dialog.


Departments and Units

  • Departments will automatically be deleted if the last crew member in them is removed.
  • Units behave differently — they'll stay in the Setup tab even if they're empty, and you'll need to delete them manually if you no longer want them.

Organising Your Crew

The Crew page is laid out like a familiar call sheet: one table per unit, with department headers inside.

  • Within each department, you can drag and drop crew to reorder them.
  • Use the up and down arrows on a department header to move whole departments up or down the list.
  • Units can be rearranged from the Setup tab.

This order carries through to the Schedule's day view, so your lists always read the way you expect.


Finding People Quickly

At the top of the Crew page you'll find:

  • A search bar to look up individuals by name.
  • A filter to view specific units or departments.

Crew Cards

Each row has an "i" icon at the end. Clicking this opens a card with all the details for that crew member. From here you can:

  • Edit their information (pencil icon).
  • Re-Send Pass — handy if they've deleted their pass or missed the email. Re-sending an issued pass shares the same pass again; if their pass was revoked, this issues a fresh one.
  • View their unique QR code (shown while their pass is issued).
  • Delete them (trash icon) — this permanently disables their wallet pass and removes them from all future days. Their past collection history is kept for your records.
  • See the days they're scheduled, including which sessions and locations, with collected days marked in green.

Tip: For smoother scheduling, group your crew into Core and Dailies units. This makes bulk-adding much easier later on.
