Crew

Your central database of all crew members with ReelCount passes.

Updated over 2 months ago

The Crew page is where you keep track of everyone who’ll be collecting meals on your production. Once someone is added, they’ll be issued a ReelCount pass that can be used throughout the shoot — as long as they’re scheduled for a day.

Adding Crew

There are two ways to add people to your crew list:

1. Import from CSV

The quickest way to add a large group is by uploading a CSV file.

  • Click Import CSV on the Crew page.

  • Upload your file — ReelCount will try to detect the right columns automatically.

  • Double-check everything is mapped correctly before confirming.

👉 Download our CSV template to make sure your file is ready to go.

Tip: Keep department and unit names consistent. Small spelling differences (e.g. “Production” vs “Production Team”) will create duplicates.

2. Add Individually

To add a single crew member, click the Add Crew button in the top right. A pop-out will ask for:

  • First and last name

  • Job title

  • Email address (used to send their pass)

  • Phone number (optional)

  • Unit and department

If the unit or department doesn’t already exist, you can create it here.

👉 Here’s the Add Crew pop-out:

Departments and Units

  • Departments will automatically be deleted if the last crew member in them is removed.

  • Units behave differently — they’ll stay in the Setup tab even if they’re empty, and you’ll need to delete them manually if you no longer want them.

Organising Your Crew

The Crew page is laid out like a familiar call sheet.

  • Within each department, you can drag and drop crew to reorder them.

  • Star a department to bring it to the top of the list.

  • Units can be rearranged from the Setup tab.

👉 Here’s how departments look when starred and reordered:

Finding People Quickly

At the top of the Crew page you’ll find:

  • A search bar to look up individuals by name.

  • Filters to view specific units or departments.

Crew Cards

Each row has an “i” icon at the end. Clicking this opens a card with all the details for that crew member. From here you can:

  • Edit their information.

  • Re-send their pass (handy if they’ve deleted it).

  • View their unique QR code.

  • Delete them (this permanently removes their pass and unschedules them from all future days).

  • See all the days they’re scheduled, including which locations they can collect from.

👉 Here’s a crew card with pass and schedule details:

Tip: For smoother scheduling, group your crew into Core and Dailies. This makes bulk-adding much easier later on.

And that’s the Crew page — your complete database of who’s on set and ready to collect.
