Scheduling Crew

Plan who’s expected each day and make sure their passes will work at the scanner.

The Schedule page is your production calendar. It starts out blank, but once you begin adding crew you’ll see coloured pucks on the dates they’re assigned. Each colour matches the one you chose for that location in Setup.


Adding Crew from the Calendar

Need to add a group across multiple days?

  1. Go to the Schedule page.

  2. Click Add Crew in the top right.

  3. In the pop-out, you can:

    • Select individuals, whole departments, or entire units

    • Search for specific crew

    • Choose one or more days in the calendar

    • Select one or multiple locations

Tip: Splitting your team into Core and Dailies units makes multi-day scheduling much easier.


Viewing a Single Day

Click a day in the calendar to see who’s scheduled.

  • If no one’s assigned, you’ll see “No crew scheduled for this day.”

  • Use the Add Crew button at the top left to add crew just for that day.

  • Use the Select Location dropdown to filter by site.

When filtered:

  • With no filter, the Total shows everyone scheduled that day.

  • With a location filter, it shows only those crew who have access to that site.

  • If a crew member is scheduled for multiple sites, they’ll appear in each list.

Working with Crew in a Day

Crew are shown in the same order as in the Crew page (including starred departments and any reordering).

Click the “i” icon next to a crew member to open their card. From here you can:

  • Remove them from that day’s schedule

  • Change which locations they can collect from

  • Manually mark them as collected (you’ll need to confirm which site)

When someone collects, their row will update so you can see it at a glance.


Scheduling Times

For today or any future day, you’ll see a Time button.

This lets you set when a site should automatically go live and when it should finish.

You’ll get a notification in the bell when:

  • A site is about to go live

  • A site has gone live

  • A site is about to go offline

  • A site has gone offline

How Scheduling Works with Passes

  • Crew can only collect once per day.

  • If someone isn’t scheduled, their pass will be rejected at the scanner.

  • At midnight, all passes reset for the next day.


And that’s Scheduling Crew — simple, visual, and built to keep catering numbers accurate.
