Filtering and Reading the Schedule

How to view and filter crew numbers in the Schedule page.

Updated over 2 months ago

The Schedule page gives you a calendar view of your production. Each day shows who is scheduled, where they are due, and their collection status.

Viewing Crew for a Day

Click on any day in the calendar to see the crew list.

  • If no one is scheduled, you’ll see No crew scheduled for this day.

  • If crew are scheduled, they appear in the same order as on the Crew page, including starred departments.

👉 Here’s the Schedule page with a day selected, showing scheduled crew members:

Filtering by Location

At the top left of the Schedule page is the Select Location dropdown. This lets you focus on a single site.

  • With no filter applied, the Total shows all crew scheduled for the day.

  • With a filter applied, the Total shows only crew with access to that location.

  • Crew scheduled at more than one site will appear in both lists.

👉 Here’s the location filter dropdown being used to show crew at a single site:

Understanding the Colours

Crew members are highlighted in different colours based on their collection status:

  • White – Scheduled but not yet collected.

  • Green – Collected their own meal.

  • Blue – Meal collected on their behalf.

👉 Here’s how the crew list looks with examples of white (not collected), green (collected), and blue (collected on behalf):

Key Points

  • Filtering helps you check numbers for specific sites.

  • Crew can appear in more than one filtered list if scheduled across sites.

  • The Schedule page always mirrors the order set in the Crew page.

That’s how to filter and read the Schedule — giving you a clear picture of who’s due and where, each day.
